Policies and Procedures for Weddings

 

Step One: Talk with the Pastor

He will need to check his calendar and schedule counseling.  The pastor will counsel every couple regarding roles, family responsibility, finances and commitment to God and the church.

 

Step Two: Schedule the Date

The date and time should be coordinated with all church calendars.  The rehearsal and wedding date cannot conflict with other church activities, such as VBS, Revivals, and any other annual or regular church event already scheduled. 

 

Step Three: Read This Policy Carefully

All policies must be strictly adhered to, unless permission to change is given by the pastor and/or the church board.

 

Step Four: Coordinate Plans with Everyone Involved

Direct any questions to the pastor.


Wedding Policy
 

 Use of Church

  1. No smoking is allowed inside the church facility-neither the main building (sanctuary/classrooms) or the Activity Building.
  2. When the sanctuary is being rented by persons outside the congregation, the officiating ordained minister must have the prior approval of the Senior Pastor of Belle Church of the Nazarene.
  3. Church facilities are reserved only through the Pastor and the church calendar.  The date must be checked with the master calendar for the Activities Building (contact Ann Nelson).
  4. All music shall be pre-approved by the officiating pastor.
  5. No food or drink is allowed in the sanctuary.
  6. It shall be the responsibility of the bride and groom to have caterers, florists, photographers, etc.  If you need help in this area, the pastor can recommend someone to assist the couple to find someone in these areas.
  7. Flash photography during the wedding ceremony itself is strongly discouraged.  Your wedding ceremony is a very sacred event.  Ceremonies have been disrupted by a photographer walking back and forth in front of the sanctuary, etc.  It is requested that after the bride is at the altar, no flash photographs be taken until the couple turns for the recessional.  Any equipment, such as video cameras, that do not need special lighting and which are already in place, may be used at any time. 
  8. It is suggested that you hire a nursery attendant.  The Belle Church has a well-equipped nursery in which infants and young children may be kept during the wedding ceremony.  This is not something that is required, however, and although we suggest a nursery, you may wish to welcome babies to your wedding.  However, it is unrealistic to expect that babies will not cry and toddlers will be quiet for an entire wedding ceremony.  Many weddings have greatly distracted by a small child crying or talking loudly throughout a ceremony.

 

If you do not wish to hire a nursery attendant, the pastor may be able to suggest a responsible person.  At the wedding the ushers upon greeting guests with small children, can discreetly say, “The bride and groom have provided a nursery attendant; may I show you where the nursery is?”  Of course, one can not force a parent to take his child to the nursery, but most often they are glad to have this service provided.

  1. Please notify the pastor as to the time the florist will need into the church to set up for the wedding.  All decorations must be removed from the building immediately following the wedding.  The building must be left in the condition in which it is found.
  2. It is requested that all candles used on the platform or in the aisle be the canister type that encloses the candle inside, thus giving a constant light and also protecting the church carpet. 
  3. Sunday School classrooms may be used for dressing areas on the day of the wedding.  Each of these areas must be cleared and reset for regular church use immediately following the wedding.
  4. It is strongly recommended that if the wedding is scheduled for a Saturday, it should start no later than 4:00 PM if the reception is to be held in the church Activity Building.
  5. Attire for the wedding rehearsal should be appropriate and in good taste remembering this is the church sanctuary.
  6. The bride and groom are responsible for damage to the church facility. 
  7. All fees are due by the day of the rehearsal. 

Reception

 

  1. Under no circumstances shall alcoholic beverages, tobacco, or illegal drugs be used on the church property.
  2. No dancing shall be allowed at the church or Activity Building.  It is not the church’s intent to render a moral judgment on this activity. It is believed, however, that the church facility is an inappropriate place.
  3. Bird seed is permitted only outside the building.  Confetti is not permitted.
  4. Please notify the pastor or Ann Nelson as to the time the caterer and/or servers will arrive.
  5. The Activity Building should be cleared and the floors swept immediately after the reception is over.  Caterers are responsible for cleaning the kitchen and equipment used and removing all waste.

POLICIES FOR FOOD IN THE CHURCH BUILDING
{Not the Activities' Building with the Kitchen}

If anyone brings snacks or drinks into the church classrooms, they are to immediately remove the unused items when they leave the room.

On Wednesday nights, the person in charge that night of the children’s department is to take out the trash if the kids ate any food or had any drinks with them when they leave that evening.  That person is to take the trash to the area behind the parsonage garage.

Also, the Wednesday night children's leader and Sunday School workers are to wipe the tables clean and vacuum if there is food on the floor.

 To keep God's house holy, please refrain from taking any food, snacks, or drinks into the Sanctuary!

RULES AND REGULATIONS CONCERNING

 

THE BELLE NAZARENE FELLOWSHIP CENTER

Revised April 8, 2008


           
We feel that this building is an answer to many years of prayer and is the product of long hours of work on the part of several people.  Therefore, we must all show our appreciation and thankfulness by being concerned and abide by the rules and regulations which have been set up and approved by the Church Board.

            We feel that the building is primarily intended for Nazarene fellowship.  Therefore, priority in scheduling will be given to classes or groups within the church.  The building will not be available for use by political, civic, or other non-church groups.  Other churches may use the building according to the guidelines listed below.

  1. There must be at least one or two adults in the building at all times when in use.
  2. Anyone wishing to use the building must get permission.  A supervisor is appointed to be in charge of the building and schedule for different activities (currently Ann Nelson).
  3.  Everyone is expected to act in an orderly manner and treat the furniture and equipment as you would in your own home.  No vandalizing, etc.
  4. Smoking, drinking alcoholic beverages, drugs or use of profane or foul language, or pornography will not be allowed on church property, this includes in the parking lot.
  5. Dress to suit the occasion, but with good taste and in modest apparel that becomes holiness.  Shirts and shoes are required at all times.  Athletic shoes are to be worn when playing ball.

Each group will be responsible for leaving the building as nice as it was found.

 

  1. Clean up kitchen, if used, wash and put away dishes, prepare garbage for take out, and do not leave food unless it is to be used.
  2. Put new garbage bags in cans and close lids.
  3. Fold tables and chairs and put in proper place.
  4. Sweep the floor.
  5. If dish towels or table cloths are used, they are to be washed and returned within one week.

 

  1. The person in charge of each gathering must see that the above things are taken care of, turn off lights, adjust the thermostat on the furnace and/or air conditioner and lock all doors.
  2. Any member of the church may use the building for a personal event, such as a shower, reception, or party, if it is not in use.  A deposit of $50.00 will be required one week in advance and it will be returned if clean up requirements are met.  The clean up rules must be followed by everyone that rents the facility..   (See wedding policy for wedding reception use).
  3. With permission of the Church Board, any outside church group using the building, will be charged a fee of $30.00 per hour plus $15.00 extra if cooking is done in the kitchen.
  4. Scout and community ball groups may use the building, with approval of the church board, at no charge.  For safety reasons, these groups are not to use the kitchen appliances for any reason.
  5. Closing time will be 10:00 PM for week nights and 11:00 PM on the weekends (or later, if given special permission).
  6. No secular activities, including ball playing are to be scheduled during church services.  Planned church activities during church hours must include devotional times (such as children’s parties and youth fellowship).
  7. No ball playing is allowed during church parties (to be decided by one in charge).  Such as adult class parties, snowflake dinner, etc.
  8. The parking lot is to be used for Fellowship Center and church services only.  It is not to be used as a playground.
  9. No throwing balls against ceiling or misuse of any equipment.
  10. No footballs, baseballs, softballs, or soccer balls to be used in the building.
  11. No roller skates, roller blades, skate boards, heelies, or bicycles to be used in the building.
  12. No provoking a fight or participating in a fight.
  13. Failure to abide by these rules will result in immediate dismissal by event supervisor.
  14. The church is not responsible for valuables, damaged personal items, or accidents or injuries.
  15. No dancing will be allowed at the church activity building.  It is not the church’s intent to render a moral judgment on this activity.  It is believed however, that the church facility is an inappropriate place. 
 

POLICIES CONCERNING MONEY

 

According to IRS laws:

 

1. All monies donated to the church must be turned in to the treasurer of that department.  This means that if someone hands you a donation for a mission’s trip in cash, please turn it into the mission’s treasurer with the name of the person who donated the gift and the receiver of the gift, yourself. 

 

Likewise, if someone gives a donation of cash to VBS or Women’s Ministries (not a payment for an event but a true donation), this has to pass through the department treasurer’s books to avoid IRS questions.  

 

2. If a person is paying for an event the church is attending their check can be made out to the church and listed as a “Pass Through” on the books of the treasurer showing as an “In and Out”.   The check for the event would then be issued by the treasurer of that department for the whole amount to the event place -- like to Winterplace for an NYI ski trip.

 

3. If you make a PRE-APPROVED purchase for the church--such as an item for the church facility —and expect a reimbursement, you must turn in a receipt for the amount in order for a check to be written by the treasurer. 

 

We must meet IRS requirements for the accountability of our finances!
